  • 10/8 Management of Microsoft 365 Groups

    ITS will be implementing a new practice for managing Microsoft 365 Groups.

    Groups in Microsoft 365 let you create a distribution list for teammates and give them access to a shared set of resources, such as an Outlook inbox, calendar, and SharePoint site. All Groups should have at least one owner, who manages membership and permissions. As some owners of Groups have left the University, however, ownership was not transferred, and the Group is left without an owner.

    ITS requires that all Groups have at least one owner who provides necessary oversight. To address this issue, we are going to use a built-in messaging feature in Microsoft 365 to notify members of ownerless Groups. The message will ask if they claim ownership, which they do by clicking either the yes or no buttons.  If they do not respond, they will receive the message weekly for a month. If no one in the Group becomes the owner after one month, the Group and its associated service will be deleted.
