    JOB SUMMARY

    The Office of the Vice President for Research invites applications for the position of Administrative Support Assistant to the Office of the Vice President for Research, to provide confidential administrative support for executive staff. The incumbent will provide complex scheduling and logistical support, including all arrangements and activities (including financial) related to meetings and travel (domestic and international) while preserving confidentiality and exercising discretion in performing assigned responsibilities.

    Successful candidates are expected to possess an advanced level of organizational, communication, and problem-solving skills. This is a confidential staff position expected to maintain positive public relations, serve as an essential point of contact for the Office, and exhibit discretion, sound judgment, and acumen in obtaining and providing information.

    DUTIES AND RESPONSIBILITIES

    • Coordinates a complex schedule of appearances and activities, requiring coordination with other executive and administrative staff, including arranging for all logistics (i.e. space, technology, catering, parking, agendas, materials, etc.).  Assures that the participants are fully prepared to participate in all scheduled activities.
    • Arranges for local, domestic and international travel; procures appropriate travel documents; develops itineraries, processes pre- and post-travel advances and expenditures/reimbursements. Researches and compares available travel and hotel accommodations to identify the best available option for each travel need/location. Researches potential future travel locations for feasibility, and other related responsibilities.
    • Maintains strict confidentiality and exercises discretion and a high degree of autonomy and accountability in the conduct of business.
    • Contributes to the overall staff support of the Office, assisting colleagues as needed, such as with event, program, and project support, or scheduling for other administrators in the absence of colleagues supporting those positions.
    • Regularly contributes suggestions for efficiencies, process changes, and other resources to support effective operations of the Office with access to information used in collective bargaining.
    • Assists and provides backup support to the Executive Assistant to the Vice President for Research, Innovation, and Entrepreneurship.

    MINIMUM QUALIFICATIONS

    1. Associate's degree and three to four years of experience supporting the operations of an office, supporting management or leadership, or in a related administrative capacity. Education and training may be substituted for years of experience.
    2. Ability to maintain strict confidentiality and to function effectively in ambiguous situations requiring the exercise of significant judgment and discretion.
    3. Ability to work independently and regularly exercise judgment in line with established policies and procedures.
    4. Excellent writing, verbal and interpersonal communication skills.
    5. Proficient user of Microsoft Office Suite.
    6. Ability and willingness to travel to other work locations.

    PREFERRED QUALIFICATION

    1. Bachelor’s degree and one to three years of administrative experience supporting the operations of an office, supporting management or leadership, or in a related administrative capacity.
    2. Two or more years of general administrative experience, including complex scheduling and arranging for related logistics.
    3. Experience providing executive scheduling/administrative support in a higher education administrative office or similarly complex organization.
    4. Experience arranging for domestic and international travel.
    5. Proficiency with administrative technology and tools for scheduling meetings and events; updating directories; marketing or publication on social media, etc.

    APPOINTMENT TERMS

    Full-time positions include an excellent benefits package including medical and retirement, as well as employee and dependent tuition waivers at the University of Connecticut. The target salary for this position is the low- to mid-fifties.
