    Where will the training rooms be located?

    • Munson Building, 16 Munson Road, Farmington, CT 06030
    • Outpatient Pavilion, Dowling Way, Farmington, CT 06030
    • JDH Hospital, 263 Farmington Avenue, Farmington, CT 06030

    How will I register for classes?

    • The person that you report to (Team Lead, Manager, Director) will be responsible for registering end users who report to them for class. This will allow leaders to make sure that shifts are covered in the department.

    When will registration occur for end user classes?

    • Registration for class(s) will begin sometime in November.
    • Super User Classes begin February 26, 2018
    • End User Classes begin March 12, 2018

    Are there any pre-requisites to complete before class?

    • End users will complete e-learnings associated with the class prior to coming to class
    • E-learnings for everyone but Residents and Fellows will be loaded in Saba. Residents and Fellows will complete their e-learnings in HealthStream.
    • A catalog will be created that will list all classes and the e-learnings associated with the class.

    Is there a proficiency exam?

    • Yes, every end user role will complete a proficiency exam called a EUPA (End User Proficiency Assessment) consisting of about 20 questions.
    • A passing score of 80% will be required to pass.
    • A remediation process is in pace should anyone have difficulties in understanding the training materials and passing the class.
    • The Training Team goal is for everyone to pass on the first try. We are here to help!

    When do I receive access to HealthONE?

    • Playground access is given once you have attended your first class.
    • You are encouraged to practice in the playground with the materials you receive in class. This practice area resets itself every night. Practice as much as you need.

    Is HealthONE Training required?

    • Training is required for HealthONE access.
    • All classes for the end user role must be completed along with the EUPA (End User Proficiency Exam).
    • The entire class must be completed from start to finish.

    Who will train me?

    • Principal Trainer – A person from the HealthONE team who has been certified by Epic on an Epic application. Certification was completed by attending multiple classes at Epic, completing multiple projects, and completing multiple exams with passing scores. Principal Trainers write the curriculum, QSGs (Quick Start Guides), and Tip Sheets. They also build the training environments and the playground you will be using.
    • Credentialed Trainer - A person, preferably from within UConn, who is taught the UConn workflow of an Epic application over the course of 6 weeks. The Credentialed Trainer must pass a written test and complete a presentation in front of a panel of their peers, HealthONE team members and Epic staff.

    What is a Super User?

    • Before Go Live
      • Participate in a 1-2 hour introductory meeting
      • Participate in end user engagement activities throughout the implementation
        • Workflow Adoption
        • Testing
        • Workflow Walkthrough
        • Training
        • Dress Rehearsal
        • Complete the HealthONE Super User training path to gain a detailed understanding of HealthONE and maximize the benefits of the electronic health record (EHR) for workflows in the department.
        • Assist with department, integrated, and usability testing of HealthONE applications as needed
        • Reinforce training for staff in their departments, including completion of department-specific competencies, as assigned
        • Serve as project advocate to generate enthusiasm and excitement for the change
        • Attend the first series of classes for your application and then attend classes as backroom support for other end users
    • During Go Live  
      • Maintain a positive attitude during the immediate period following go live, when peers might be most frustrated with organizational and workflow changes
      • Provide at-the-elbow go-live support for all users in the department
      • Be approachable and available to staff in the assigned support areas
      • Prioritize patient care and safety at all times
      • Help the project team prioritize application issue resolution and provide feedback on proposed resolutions
      • Attend daily issues meetings, report back outcomes to their departments, and distribute daily communications, such as tip sheets, to help implement the changes
      • Lead, reinforce, and validate standard workflows and best practices

    Common HealthONE (Epic) Jargon

    • Anesthesia - Epic's Anesthesia Information Management System (AIMS) product.
    • ASAP - Epic's Emergency Department information system application.
    • Beacon – Epic’s Medical Oncology module.
    • Beaker – Epic’s lab module.
    • Cadence – Epic's enterprise scheduling product. Used to schedule and track patient appointments.
    • Care Everywhere - An application that provides access at the point of care to the patient's medical records from other organizations.
    • ClinDOC – Epic's electronic medical record application for inpatient settings.
    • EHR - Electronic Health Record - The aggregate electronic record of health-related information on an individual across the enterprise. Within Epic, EHR generally refers to the patient record overall - including clinical, billing, and access data.
    • EpicCare Ambulatory - Epic's ambulatory electronic medical record application for outpatient settings, or the Epic division that produces this application.
    • EpicCare Inpatient - Epic's electronic medical record application for inpatient settings, or the Epic division that produces this application.
    • Grand Central - ADT Short for Admission/Discharge/Transfer - A system for tracking inpatient visits. Used by organizations to track inpatients from their arrival (admission), to their movements inside the hospital (transfer), to their departure (discharge).
    • HIM - Epic's HIM suite includes Chart Tracking, Deficiency Tracking, Release of Information, and Coding & Abstracting.
    • HB – Hospital Billing - Epic's Patient Accounting product for hospitals or a product for the facility fees for an organization with both hospitals and clinics.
    • OpTime – Epic’s operating room management module.
    • PB - Epic's Patient Accounting product for clinics.
    • Radiant – Epic’s radiology module.
    • Stork – Epic’s obstetric module.
    • Willow - Epic application designed to support the workflows and routines familiar to most health care professionals in inpatient pharmacy settings.
