  • Res Life Early Arrival Process

    The information below is to announce the beginning of the Residential Life Fall 2017 Early Arrival Process:

    New This Year: we have moved the group Early Arrival database entry deadline back to July 27th.  This will help avoid student confusion from years past as we will no longer allow students to make individual (non-group) requests while group requests are being accepted.  As such, after July 27th, I will have two business days to process all group requests and then we will only provide non-group residents access to the individual Early Arrival application.  We are giving you two additional months to prepare for this change.  I encourage using the remainder of the spring semester to plan for Fall 2017 early arrivals and to share with your students that they will need to communicate with you in advance of July 27th if they no longer plan to participate in your group early arrival program.  Groups will be charged for all approved students on their lists after July 27th, regardless of whether the students move-in on the date they were requested for.  We cannot transfer group charges to students.

    Below please find this year’s information so you can plan accordingly.  My goal is to give you as much information as possible so you can communicate with your students to avoid any confusion:

    Fall 2017 Early Arrival Fees

    • Saturday, August 19th- Tuesday, August 22nd - $35 per student, per day (fees are subject to change for 2018)
    • Wednesday, August 23rd - Thursday, August 24thNo charge

    Fall 2017 Undergraduate Early Arrivals

    • An undergraduate early arrival is any undergraduate resident who needs to move-in to on-campus housing prior to the official opening of the residence halls on Friday, August 25, 2017. 

    Residence Halls Not Available for Early Arrival Check-In

    • The following residence hall/area will not be available for Fall 2017 Early Arrival check-in.  There are no exceptions and this was communicated to residents while they were selecting their 2017-2018 housing and following selection during the summer room change process.  As such, if a resident of the area listed below needs to come back early they will need to make alternative arrangements off-campus or complete a summer room change.

    Early Arrival Program Coordinators

    • The program coordinator is a professional staff member (non-student staff) responsible for inputting information about the early arrival students into a database managed by Residential Life.  The Early Arrival database will be available within 2-3 business days of submitting program coordinator/group information to Martin Sagendorf. Students in the Early Arrival database will receive detailed instructions about check-in via e-mail from Residential Life.
    • Info Needed to Request Access to Early Arrival Database
      • Any program that needs students to return early so they can participate in a University sponsored event or program must forward the following information to Martin Sagendorf at martin.sagendorf@uconn.eduby July 21, 2017.
        • First/Last Name of program coordinator
        • Program coordinator contact information and NetID
        • Name of early arrival group (please use the same name as last year if this is a continuing group)

    Graduate Early Arrivals

    • In mid-July 2017, graduate students can apply individually to arrive early for the Fall 2017 semester. Any departments who will be paying the early arrival fees for their graduate students can follow the process for undergraduate early arrivals. Graduates students who will be paying their own early arrival fees must submit an online application which will be available in mid-July 2017.

    Early Arrival Check-In Dates - August 19th-24th  

    • The Early Arrival Process for undergraduate students begins on Saturday, August 19, 2017 and ends on Thursday, August 24, 2017. Continuing, including Campus Change students, and transfer students are not eligible to arrive on Friday, August 25, 2017. There is a $200 charge for continuing and transfer students who arrive on Friday and are not approved siblings of freshmen.  Arrival and check-in on Friday, August 25, 2017 is for newly admitted freshmen and their siblings ONLY. Arriving on August 25, even as an approved early arrival, will result in a $200 early arrival charge placed on the student bill.  This $200 fee cannot be appealed or removed. 

    Early Arrival Charge $35/Day for August 19th-22nd

    • If University departments/programs need their students to arrive Saturday, August 19, 2017 - Tuesday, August 22, 2017, the sponsoring program will be charged $35 per day, per student until August 22, 2017. The early arrival check-in location (Rome Commons Community Room, Ground Floor) will be open from 9:00 AM to 9:00 PM from August 19-23 and 9:00 AM to 5:00PM on, August 24th.  Early arrival housing fees are subject to change in 2018.

    No Early Arrival Housing Charges for August 23th-24th

    • Approved group early arrival students can move in at no additional housing fees on Wednesday, August 23, 2017 between 9:00 AM and 9:00 PM, and Thursday, August 24, 2017 between 9:00 AM and 5:00 PM.

    Changes After the Deadline

    • No changes can be made to the list after the Thursday, July 27, 2017 deadline so that our staff can begin preparing for the requested early arrivals.

    Billing Information Required for Registration

    • A KFS account number will be required to gain access to the Early Arrival database to submit the list of students who need to arrive early.
