  • ECM: The Solution to Document Storage/Retrieval

    Please take advantage of the IBM FileNet Enterprise Content Management System (ECM) applications deployed by University Information Technology Services (UITS) at UConn in July 2012. Currently, the system is being used by 13 areas with over 100 people and those numbers are continuing to grow.

    The ECM system was purchased by the State of Connecticut and is offered at little-to-no cost to UConn departments, schools and colleges.

    ECM at UConn is made up of two primary components, FileNet and DataCap.

     

    FileNet is a centralized document management system which enables users to easily store and retrieve electronic documents from a secure repository.

     

    FileNet’s key features include:

    –        Thin client access via the web

    –        Custom built templates to provide efficient document adds and searches

    –        Document ‘content-search’ capabilities to find documents based on words and phrases

    –        Document check-out/check-in

    –        Version management

    –        Approve/deny workflow

    –        Full audit trail

     

    Datacap is a document and electronic file capture solution that front-ends FileNet and allows users to essentially “empty file cabinets” by scanning the documents and storing them in FileNet.

     

    Datacap’s key strengths are:

    –        Fingerprinting to facilitate document recognition

    –        Auto-indexing to reduce data entry

    –        OCR/ICR capabilities enabling full text searches based on words or phrases

    –        Rule based content verification

    –        Bulk import capabilities
